Rental Policies

Rates & Bookings:

Your reservation is considered to be "held" once we receive your required information and booked once we receive your deposit. You are agreeing at the time of booking to the reservation policy which can be reviewed on our website:

A two night minimum stay is required on all non-holiday reservations. Holiday reservations have a 3 night minimum. Rates and descriptions are subject to change without notice. 11.4% City of Bend transient room tax and 1% State tax are required to be collected on all properties as per State of Oregon.

In addition to the cleaning fee, a reservation fee of $25 is applied to all reservations at the time of booking. Properties that require above average cleaning at the time of check out will have the additional fee deducted from the security deposit.

Desert Pine Properties reserves the right to cancel any reservations or substitute rental homes due to circumstances beyond our control. Should the home confirmed by the guest become unavailable for any reason whatsoever, Desert Pine Properties will inform guest prior to check in and every attempt will be made to relocate guest to a comparable home, unless guest requests a refund.

Unit Policies:

The owners of these vacation homes have graciously furnished their homes for your comfort and pleasure. Please respect and care for it as if it were your own. Our owners have requested that their units be smoke and pet free (unless otherwise specifically stated). Laws with regard to pets of the handicapped are honored. If you smoke or have pets in the home you will automatically forfeit your full Security Deposit.

Every effort is made to assure accurate descriptions of the properties. Desert Pine Properties is not responsible for errors in printing, changes made by Owners or matters out of Desert Pine Properties' control, e.g. noise, construction, weather, etc. Complaints regarding accommodations must be submitted in writing to prior to check out for consideration by the Owner. Substitutions and refunds will not be made upon arrival for any reason except required by law.

Security deposits vary on our vacation rentals. $500.00 - $2000.00. Security Deposits can be used for infractions of rental policies, damage, theft, additional cleaning, unpaid rent or any other incident causing harm/damage to the property.

There are occupancy limits for each home published on our website and included in the property description. These limits cannot be exceeded for any reason other than an infant. Exceeding the maximum specified occupancy constitutes a breach of the lease agreement, as well as fire codes, and will result in termination of lease without refund of rent and full forfeiture of your full Security deposit.

Remember all your belongings on your departure from the unit. Desert Pine Properties is not responsible for lost, damaged or stolen personal items left in the unit. A $25 service fee is charged in addition to shipping costs if we are required to mail your forgotten items.

Guests shall comply with all laws and keep premises as clean and safe as possible. Your home is located in a residential neighborhood and quiet time must be observed after 10PM. Please respect your neighbors.


Some units may provide for an individual phone number and will be included on your confirmation letter. Please ask friends and family to contact you directly. There is no switch board service. No toll or long distance calls are to be made on the telephone in the home.

Check in and Check out:

Use your confirmation and instructions to locate and access your unit. If you need assistance please contact Desert Pine Properties at 541-388-9973.
All vacation homes have combination lock boxes near the front door of the property, which contains the key for the rental. The lock box combination will be included on your confirmation letter. If you are arriving after dark, please bring a flashlight with you so you can see the combination lock.
Check in time is at 4:00 pm and Check out time is at 11:30 am sharp. Prompt check out is essential to allow time for our housekeeping staff to prepare the home for the next guest. Late check outs possible with prior arrangements.

Helpful tasks upon departure:
Strip all used beds, gather all used linens and take to wash area, start a load of towels, empty trash receptacles. Wash and put away all dishes. Leave furniture and other contents in the original location.

Payments and Deposits:

A rental Deposit is due upon making a reservation and is payable by check. No reservation can be fully confirmed until receipt of the deposit. Balance of rent is due 30 days prior to your arrival by check. We will prompt you for your balance due.

*Each of our properties require at least a $500.00 security deposit, authorized by your signature on the rental policies and a separate check made out to Desert Pine Properties in the amount of the Security Deposit that home requires. You will be responsible for long distance calls, damage, theft, extra cleaning, furniture moving and lost keys.


You can cancel your reservation up to 60 days prior to your arrival for a refund of your deposit, less a $100.00 cancellation fee. If you cancel your reservation with less than 60 days notice prior to your arrival, the full rental amount is kept unless we re-rent the unit for those dates, at which we will refund those dates we could rent,(after receipt of new guest's payment) less the $100 cancellation fee. All notices of cancellation must be received in writing for the guest's protection. There are no refunds due to natural or man-made disaster, electrical blackouts, storms, snow blockage, road closures or any other event out of Desert Pine Properties control.

Housekeeping services:

Our units are professionally cleaned after each stay. We do not provide daily maid service. Additional housekeeping services may be arranged for an additional fee.

Lock out policy:

In the event a Guest becomes locked out of the home during the rental period, you should call Desert Pine Properties and we will arrange for a new key. There will be a $25.00 fee at the time the service is rendered. Lost keys may necessitate rekeying and charges will apply.


Please report any inoperative equipment in your vacation home to Desert Pine Properties immediately. We will make every reasonable effort to have the problem corrected.
